Are you fully insured and compliant for corporate venues?

Absolutely. Compliance and risk management are a priority for corporate planners and venues — and we’re set up for it. We’re fully insured, carry all required safety documentation, and can shoot seamlessly in the UK or overseas.

What that includes:
  • Full insurance cover (including Public Liability) to protect your organisation, guests and venue.
  • PAT-tested kit — all lighting and electrical equipment is PAT certified to meet venue and conference centre requirements.
  • Worldwide ready — our coverage and certifications allow us to operate globally without delays.
If your venue needs a Certificate of Insurance (COI) or a risk assessment in advance, tell us and we’ll coordinate directly with their team.

Do we own the photos and how can we use them?

Under UK law, copyright stays with the photographer. However, we know that corporate clients still need flexibility and freedom to use their images. Rather than complicating things with strict royalties, we include a broad Commercial Usage Licence as standard with our corporate event packages.

What this means:
  • Full marketing use — images can be used across your website, social, PR, reports and internal communications.
  • No ongoing fees — you won’t pay royalties each time you publish or print your own images.
  • Client-only licence — sharing with sponsors or external vendors for their marketing requires an extended licence.
If you need to sell images, arrange a buyout or set custom licensing terms, we can agree this during booking to meet legal or procurement requirements.

Can you keep our event private or sign an NDA?

Yes. We regularly photograph internal summits, strategy sessions and unreleased product launches where confidentiality is essential, and we’re happy to sign NDAs ahead of the event.

Your privacy is respected throughout — images from private corporate events are never shared in portfolios, case studies or social media without your explicit permission.

How quickly will we receive our photos?

Our standard turnaround for professionally edited event galleries is within 48 hours, so you can share highlights while the event is still fresh for attendees and stakeholders.

If you need content faster, we offer onsite editing — dedicated team members edit images as the event unfolds, delivering a steady stream of highlights in real time for social, press and live displays while the full gallery is completed afterwards.

How are images delivered?

Final images are delivered through a secure, password-protected online gallery where you can easily view, download high-resolution files and share access with your marketing team, colleagues or stakeholders without complicated file transfers.

What are your payment terms?

We aim to keep billing simple and aligned with corporate processes. For most bookings, payment is completed prior to release of the final, unwatermarked gallery to ensure a smooth handover of your images.

For established organisations, universities and public bodies, we can accommodate Net 30 invoicing — just share your accounting requirements during booking and we’ll align with your system.

How many photographers do we need?

The right number of photographers depends on guest count, venue layout and how much is happening at once. Smaller events can work well with one photographer, while conferences, multi-room programmes and larger guest numbers benefit from a team to ensure full coverage.

As a guide:
  • 100–300 guests — typically 2 photographers for stage moments and networking coverage.
  • 300–500 guests — 3+ photographers for comprehensive event coverage.
  • 500+ guests — a full team including lead, second shooters and support roles.
We also consider venue size, simultaneous sessions and any added elements like headshots or sponsor activations when recommending coverage.

Do you need a shot list?

We don’t require a detailed shot list — our photographers are experienced in capturing the natural flow of corporate events. That said, a tailored list is highly recommended as it helps us understand your must-have images, such as VIPs, sponsors or key branding moments.

A shot list also allows us to prioritise coverage during busy schedules or concurrent sessions and ensures we recommend the right team size to deliver everything you need.

Do you offer event videography too?

Yes — we offer event videography alongside photography, and many clients choose to book both as a combined package for a smoother experience.

Working as one coordinated team simplifies planning and gives you a single point of contact, while ensuring photographers and videographers never compete for angles. The result is seamless coverage and a cohesive final set of photo and video content.

Can you run a headshot station during our event?

Yes — corporate headshot stations are a popular add-on for conferences and summits, giving attendees professional portraits alongside event coverage.

We offer headshot stations with a dedicated photographer so main event photography continues uninterrupted, creating a relaxed, efficient experience with studio-quality lighting and backdrops integrated naturally into your venue. Let us know during booking and we’ll plan staffing accordingly.
